Hours: 40 hours per week, Monday - Friday
Reporting to: Workspace Manager
Requirement: Flexibility to cover holidays/annual leave/early, late starts
Overview:
To greet and direct all visitors and customers, manage meeting room bookings, maintain the security of the site and support the site facilities manager in delivering facilities services
Main Responsibilities:
- Welcome and greet all visitors and customers
- Handle and direct incoming calls
- Handle incoming and outgoing post
- Deal with enquiries that arise
- Arrange any transport requirements
- Handle the Fire Phone and support the FM/FEL as per the Fire Emergency procedure
- Maintain security by controlling access and following company procedures
- Order stationary and maintain stock levels
- Create and issue identification cards
- Support facilities admin requests
- Manage room booking requests
- Booking all external visitors to site through Envoy system
- Support booking in contractors for reactive works (call-outs, breakdowns).
- Support Workplace Manager on administration tasks.
- Support client event set up.
Knowledge & Experience required:
- Proven reception and administration experience
- Exceptional written and verbal communication skills
- Professional and friendly manner
- Competent in Microsoft packages
- Experience in customer focused environment
- Very good interpersonal skills, pleasant and approachable manner
